Patient records

Every patient, fully in view.

Open a record and see the whole picture: their history, any allergies and alerts, previous treatments with dates and notes, all on one page. Exactly what you need before you begin, without hunting through separate systems.

The full picture

The full picture before you say hello.

Allergy flags and alerts appear at the top of the record so they are never missed. Below that: every treatment this patient has had with you, the practitioner who carried it out, and any notes added at the time. Everything in one place, not scattered across a folder and a spreadsheet and someone's memory.

  • Written for aesthetics. Fields built around the treatments an aesthetic or skin clinic actually carries out, not generic medical records.
  • Notes attributed and dated. Every note carries the name of who wrote it and when, so the record is always clear.
  • Medical history in one place. Conditions, medications and relevant background alongside the treatment log.
  • Travels between your locations. If a patient visits a different site, their full record is there waiting.
Built for aesthetics

Written the way aesthetics works.

Records in Aesta are not adapted from a generic clinic system. They are built around the treatments, the terminology, and the clinical rhythm of an aesthetic or skin clinic, so you are never filling in fields that do not apply to you.

What it does

The details that matter.

  • Search by name, date of birth or phone number to find any patient quickly
  • Allergy and alert flags shown clearly at the top of every record
  • Full treatment history in the order it happened, with dates and practitioners
  • Notes from any team member are attributed and cannot be quietly altered after the fact
  • Role-based access controls so staff see what their role allows and no more
  • Exportable if a patient makes a subject access request under UK GDPR
Questions

What clinics ask about patient records.

Can the whole team see patient records?

Access is controlled by role. You decide which team members can view or edit records, so the right people see what they need and no more. A receptionist can see enough to manage bookings; a practitioner sees the full clinical detail.

Can I search for a patient quickly?

Yes. Search by name, date of birth or phone number and the matching record comes up straight away. You do not need to know the exact spelling or remember which date they were last in.

Is patient data kept private to our clinic?

Yes. Each clinic's records are kept entirely separate. No other practice can reach your patients, and patient data is never shared outside your team. More detail on how we handle data is on our privacy page.

Every patient, exactly where you left them.

Tell us about your clinic and we will get in touch for a proper look at how Aesta handles patient records.
